The Safety Management System (SMS) add-on gives your organization two tools.
- Safety Reports let members report safety events and hazards, anonymously if they choose. Staff review, assign, track and resolve each report, and reports can be exported for NASA ASRS.
- Notices let you publish bulletins that members must read and acknowledge. Unacknowledged notices block new reservations and dispatch until they are read.
In this documentation, SMS means Safety Management System. It is not related to text message notifications.
Enabling SMS
- Go to Manage > Add-ons.
- Select the Safety Management System (SMS) tile.
- Click Enable.
The add-on is free. Once it is enabled, a Safety menu appears at the top of the page for all of your members. Only the account owner and administrators can enable or disable it.
Disabling SMS hides Safety Reports and Notices from all users. Your existing reports and notices are kept and come back if you enable the add-on again.
The Safety menu
| Menu item | Who sees it |
|---|---|
| Submit Report | Everyone |
| View Reports | Users with Safety Reports permission of View & Add Notes or higher |
| Report Settings | Users with Safety Reports permission of Full Manage |
| Notices | Everyone |
| Create Notice | Owner and administrators |
| Compliance | Owner and administrators |
A red number on the Safety menu shows how many notices you have not yet acknowledged.
Permissions
The account owner and administrators always have full access to Safety Reports and Notices.
To give other users access to Safety Reports, go to Manage > Groups, edit a group, open the Permissions tab and set Safety Reports in the Operations section. This setting appears only while SMS is enabled.
| Setting | What members of the group can do |
|---|---|
| No Access | Submit reports and see their own submissions. This is what every member can do. |
| View & Add Notes | See all reports, filter and export them, change severity, add internal notes, attachments and witnesses, and edit ASRS details. Members of these groups can also be assigned reports. |
| Full Manage | Everything above, plus change status and category, assign reports, write the resolution, delete attachments and manage Report Settings. |
If a user belongs to more than one group, they get the highest setting from any of their groups.
